1. Who we are
The Forrester Foundation Sri Lanka Wildlife Conservation Society ("the Foundation", "we", "us") is a registered charity in England and Wales (No. 1133415). For the purposes of the UK GDPR and the Data Protection Act 2018, the Foundation is the data controller for personal data we hold about supporters, volunteers, enquirers and donors.

2. What data we collect
- Contact-form submissions: name, email, subject category and the content of your message.
- Volunteer and partner enquiries: name, email, organisation (if applicable), area of interest and the content of your enquiry.
- Donations: name, Gift Aid declaration (if given), postal address (required for Gift Aid), and bank or card reference as provided by our payment processor. We do not store card numbers on our servers.
- Analytics and technical data: aggregated, non-identifying page view counts and referrer data via our privacy-respecting analytics provider (Netlify Analytics). We do not use third-party cross-site tracking cookies.
- Email correspondence: any emails you send us and our replies are retained in line with the retention periods below.
3. How we use your data — and our lawful basis
- To reply to your enquiry (lawful basis: legitimate interests — responding to people who contact us).
- To process donations and claim Gift Aid on your behalf (lawful basis: contract performance and legal obligation).
- To send you occasional supporter updates, only if you have explicitly opted in (lawful basis: consent, which you can withdraw at any time).
- To maintain our charity records and meet Charity Commission reporting obligations (lawful basis: legal obligation).
We do not sell, rent, or share your data with third parties for their own marketing. We do not profile you for advertising purposes.
4. Who we share data with
We share data only with the following categories of processor, under written data-processing terms:
- Our website and forms host (Netlify, Inc.), which processes contact-form submissions on our behalf.
- Our payment processor for donation-related data.
- HMRC, where Gift Aid is claimed.
- The Charity Commission for England and Wales, for statutory filings.
- Law enforcement or regulators, where we are legally required to do so.
We do not transfer personal data to our Sri Lankan field partners.
5. How long we keep your data
- General enquiries: up to 24 months after last contact, then deleted.
- Volunteer enquiries: up to 36 months, then deleted unless you become a volunteer.
- Donation and Gift Aid records: at least 6 tax years, as required by HMRC.
- Supporter mailing-list entries: until you unsubscribe (every email we send includes an unsubscribe link).
6. Your rights
Under the UK GDPR you have the right to:
- Access the personal data we hold about you.
- Correct inaccurate or incomplete data.
- Ask us to delete your data, subject to legal-retention exceptions.
- Port your data to another organisation, where technically feasible.
- Object to processing based on legitimate interests.
- Withdraw consent at any time for consent-based processing.
- Complain to the Information Commissioner's Office (ico.org.uk) if you believe we are handling your data improperly.

8. Children
Our services are not directed at children under 13 and we do not knowingly collect personal data from children. Volunteer opportunities are restricted to applicants aged 18 or over unless otherwise indicated and accompanied by a responsible adult.
9. Changes to this policy
We review this policy annually and update it to reflect any material changes in our processing activities or in applicable law. The last-updated date at the top of this page indicates the most recent revision.
